A daughter turned her mother's art PDF into a living online catalogue in 7 hours

Working from another country, a daughter used AI tools to turn her artist mother's static PDF into a public Notion catalogue in about seven hours.

This is a story about love, legacy and a few smart tools. When her mother, visual artist Mae de la Torre, found her catalogue overwhelming to manage in the early stages of Alzheimer's, her daughter built her a home for her work online. She did it in about seven hours, from another country, and shows how simple AI can carry real human weight.

A daughter and curator who applies AI and simple automation to protect her artist mother's legacy.

Mae de la Torre Digital Catalogue

Before

Her mother had spent decades making powerful art, but as she began navigating the early stages of Alzheimer's, managing and presenting her catalogue became overwhelming. The work sat in a static PDF with no system for sharing it. Mother and daughter live in different countries, and the usual routes of manual digitisation, website builds or hiring designers felt slow, expensive and emotionally exhausting.

“She had the art. She had the legacy.”

The turning point

She chose to treat AI as a partner rather than a shortcut. She used Claude to pull images and details out of the PDF, built a clean CSV database through careful prompting, and connected it by API so it could be reorganised. ChatGPT became her co-pilot for the structure, the views and how the catalogue should feel to a visitor.

“This was not just automation.”

After

Today her mother's work lives online in a clean, accessible Notion catalogue. What would have taken days by hand took about seven hours. Mother and daughter now refine it together remotely, as artist and curator.

What it lets people do

The catalogue gives an artist's lifetime of work a clear public home that anyone can browse. It lets a family spread across two countries keep curating that legacy together, without needing a developer or designer.

What they learned

She learned that structured prompting can turn a static archive into a living system, and that small, simple AI tools can have an outsized human impact. Most of all, she saw that speed was never the real point: the point was giving her mother back a sense of agency over her own work.

“Optimisation is not just about speed — it’s about restoring agency”

This project was born from a deeply personal need. Mae de la Torre, a visual artist and my mother, has spent decades creating powerful work. However, as she began navigating the early stages of Alzheimer’s, managing and presenting her catalogue became overwhelming. She had the art. She had the legacy. But she did not have a system to share it with the world. We live in different countries, and traditional solutions (manual digitisation, website development, hiring designers) were slow, expensive, and emotionally exhausting. Using simple AI tools and APIs, I transformed a static PDF catalogue into a structured, public-facing digital system in approximately seven hours. Today, her work lives online in a clean, accessible catalogue that we can refine together remotely. Achievements - Transformed an unstructured PDF catalogue into a structured digital asset system - Extracted metadata and images using AI-assisted processing - Generated downloadable visual assets - Created a clean CSV database ready for upload - Connected the database via API for reorganisation and optimisation - Built a public-facing Notion catalogue - Enabled remote collaboration between artist and curator (mother and daughter) - Reduced a multi-day manual workflow into ~7 hours Tools Used - Claude – PDF extraction and structured data transformation - Custom prompting workflows – Data cleaning, restructuring, and CSV generation - CSV pipeline – Structured import-ready database creation - API integrations – Database reorganisation and system optimisation - Notion – Public-facing digital catalogue and database architecture - ChatGPT (AI co-pilot) – - Workflow architecture refinement - Database view optimisation - UX decisions for public presentation - Manual process guidance inside Notion - Creative layout and navigation design Methodology 1. Raw material ingestion (PDF catalogue) 2. AI-assisted structured extraction (Claude) 3. Metadata and visual asset separation 4. CSV database generation 5. API-based database restructuring 6. AI-guided optimisation of database views and user experience 7. Manual refinement inside Notion 8. Public deployment and remote collaborative iteration The process combined: - Automation - API integration - AI-assisted design thinking - Human curation This was not just automation. It was AI as a cognitive partner in optimisation and system design. Key Learnings - AI can dramatically reduce emotional and operational friction in legacy digitisation - Structured prompting turns static archives into living systems - APIs enable small creative projects to scale sustainably - Optimisation is not just about speed — it’s about restoring agency - Low-hanging AI tools can create disproportionate human impact Relevant URL https://omniscient-othnielia-eb8.notion.site/maedelatorre-2ea2b64f4df4801fbc8af02101cb72fc?source=copy_link
