A studio owner new to AI moved a 200-hour program online in months

Nikki turned a six-weekend, 200-hour in-person program into a hybrid course, with over half of it already online.

Nikki runs a brick-and-mortar business that celebrates ten years this year, and came in knowing literally nothing about AI. In a short stretch, they built an Airtable system, rewrote their materials, learned to edit video and opened enrollment for a hybrid version of their 200-hour program. It is a story of someone who almost did not submit, and has every reason to be proud.

200-hr YTT Hybrid Program

Before

Nikki taught a 200-hour program in person over six weekends and dreamed of moving most of it online. They had no experience with digital learning platforms and had never heard of Airtable, ChatGPT, Descript or MidJourney. A first try at Airtable after a webinar left them with scattered bases for individual thoughts that never connected.

“When Airtable was introduced during the webinar, I decided to explore it, but my initial attempts were a shit show and disconnected.”

The turning point

Realising they needed real training, Nikki enrolled in the Essentials course. They learned to build one centralized Airtable base for content, students and logistics, and to use ChatGPT to turn handouts and video transcripts into cohesive materials. The live calls became a place to troubleshoot, share ideas and celebrate wins with other learners.

“What once felt overwhelming—managing content, students, and logistics—has become an exciting process even though I’m still learning the basics.”

After

Nikki has opened enrollment and is onboarding participants while still refining content, with over half of the four-segment program uploaded. They now trim their own videos in Descript, use MidJourney images that fit their branding, and run six custom writing styles in ChatGPT. A second Airtable base for the studio is underway, along with automated follow-ups for student inquiries.

What it lets people do

Students can now take most of a 200-hour program online instead of across six in-person weekends. Behind the scenes, one organized system keeps content, participants and logistics in order, so the experience feels smoother for everyone.

What they learned

Nikki learned that you do not need to start as an expert, only to keep building on a solid foundation. The tools mattered, but so did the community, and the course expanded their sense of what they could bring to life.

“This course didn’t just teach me how to use tools—it expanded my vision and equipped me to bring my ideas to life.”

When I reflect on the journey I’ve taken since joining this course, the transformation is nothing short of remarkable. At the start, I had a vision to take my in-person 200-hr learning program—originally taught over six weekends—and transition it into a hybrid format with the majority of the content online. I knew it was an ambitious goal, especially as a small business owner with no prior experience in digital learning platforms or many of the tools I’ve since embraced. Before attending the webinar promoting this course, I had never even heard of tools like Airtable, ChatGPT, Descript, or MidJourney. When Airtable was introduced during the webinar, I decided to explore it, but my initial attempts were a shit show and disconnected. I created multiple bases for individual thoughts, but nothing tied together in a meaningful way. It quickly became clear that I needed training to use these tools effectively, which led me to enroll in the Essentials course. Through this course, I’ve learned to create an efficient, centralized Airtable base that organizes all aspects of my YTT program. What once felt overwhelming—managing content, students, and logistics—has become an exciting process even though I’m still learning the basics. With ChatGPT, I’ve transformed my original handouts and video transcripts into professional, cohesive materials. It helped me enhance grammar, flow, and formatting while adding depth to the content. Tools like Descript have empowered me to edit videos; and, I’ve used MidJourney to design a couple of beautiful, AI-generated images that perfectly align with my branding and elevate the aesthetic appeal of my materials. While I’m proud of how far I’ve come, I’m also excited about what’s still ahead. I’m working on streamlining the process of taking student inquiries from my website, feeding them into Airtable, and automating follow-up reminders and notifications. I can already see how these optimizations will save time and ensure a seamless experience for my students. The foundation I’ve built with Airtable and other tools gives me the confidence to tackle this next challenge. This course has not only taught me the technical skills I needed but also connected me to an incredible community of learners. The live calls were invaluable, offering a space to share ideas, troubleshoot challenges, and celebrate wins. The collective support and wisdom of other participants energized me and often inspired new approaches I hadn’t considered. Today, I am proud to say that I’ve opened enrollment to my learning program, onboarding participants even as I continue to refine and upload content. This structure has allowed me to upload over half of my four-segment program to my online platform, a feat I couldn’t have imagined accomplishing within such a short timeframe. I’ve also begun creating a separate Airtable base to manage operations at my brick-and-mortar (which celebrates ten years this year) setting the stage for improved efficiency in all areas of my business. The gratitude I feel for this learning experience is profound. This course didn’t just teach me how to use tools—it expanded my vision and equipped me to bring my ideas to life. I look forward to continuing this journey, optimizing workflows, and discovering even more ways to innovate and grow. Thank you for the opportunity to learn, connect, and transform. And thanks to ChatGPT for helping me write this as it knows my writing style because I have six customs styles set up! I am guessing there are folks that created much bigger projects and I am surprised I’m even submitting, but honestly, I’m so happy coming from knowing literally nothing about AI, and yet still only scraping the surface. Also, huge shout out Vyk, and all of the presenters. Im rewatching all the videos and they are even more delightful the second time around.   xOxO Nikki
