A life coach automated the admin and halved session prep with AI
A bilingual French and English coaching system in Airtable that writes session briefs, summaries and follow-up emails, cutting prep time by 50%.
This coach runs Life Performance Coaching and built a full AI-assisted management system to protect what matters most in a session: presence. Working in two languages, they designed a six-table database, smart forms and an automation engine that does the paperwork so they can do the coaching. It is a clear picture of how the program's AI skills can serve a deeply human practice.
AI-Powered Coaching Management System for Life Performance Coaching
Before
Running a coaching practice meant more than sessions. Each client brought visions, sprints, reflections and celebrations to track, and preparing for every conversation took time and energy. Serving clients in both French and English added another layer to every form and email.
“Fully bilingual system (French + English) with automatic language detection”

The turning point
During the AI Mastery program, they began designing a system around their real workflow, starting simple and adding complexity step by step. They built a six-table relational database in Airtable and connected GPT-powered fields to it. The key realisation was where AI should sit: handling the administrative load so the coach could stay fully present.
“AI works best as a collaborator, not a replacement for human coaching”

After
Today a client submits a reflection, the system detects their language, sends a branded email recap and produces an AI-generated coaching brief. Three AI fields draft the pre-session prep, the session summary and the client follow-up email. A coach dashboard shows active clients and sessions in real time, and session preparation now takes half the time.
What it lets people do
Clients can reflect before each session in their own language through forms that prefill what the coach already knows. The coach walks into every session with a ready brief and leaves with a summary and follow-up email drafted, keeping the whole client portfolio visible in one place.
What they learned
They came away convinced that AI works best as a collaborator, not a replacement for human coaching. Building gradually made the system possible, and bilingual automation taught them to plan language routing carefully. Above all, automating admin turned out to be a way of preserving coaching presence and energy.
“The biggest impact came from automating administrative tasks to preserve coaching presence and energy”
In their own words
AI-Powered Coaching Management System for Life Performance Coaching was built during AI Mastery.
